How to Find Low, Dead and Expired Stock

Short answer

Quick Reports → Stock Alerts lists products at or below their alert quantity, so you know what to reorder. Quick Reports → Dead Stock lists products that have not sold for 30 days to a year, with their value, plus the value of expired stock. The dashboard's Stock at Risk card sums them up.

Three kinds of stock cost you money: stock about to run out (lost sales), stock that never sells (cash tied up), and stock past its expiry date (written off). SellarPro shows each one.

Low stock: what to reorder

  1. Give each product an Alert Quantity on its form, under More Fields: the level at which you reorder.
  2. Open Quick Reports → Stock Alerts and choose the Location.
  3. The cards show Total Alerts, Out of Stock, Low Stock and Critical Items. The list shows each product's Current Stock, Alert Qty and the Qty Needed to get back to it.

Dead stock: what is not selling

  1. Open Quick Reports → Dead Stock.
  2. Choose the Location and No Sales For (Days): 30, 60, 90, 180 days or 1 year. Click Apply Filters.
  3. Read the Dead Stock Value, the Expired Stock Value and the Potential Loss (dead and expired stock at cost, each counted once). The list shows each product's stock, value, when it last sold and how many days it has been idle.

Expired stock

To track expiry, switch on Enable Product Expiry under Settings → Business Settings → Product, and enter expiry dates when you record purchases. Expired stock then shows on Dead Stock and on the dashboard's Stock at Risk card, with what is Expiring soon (within 30 days).

Move dead stock before it expires: a discount, a bundle, or a transfer to a branch where it sells.

Common questions

A product sells at another branch. Is it dead?
With All Locations, a sale at any branch keeps it alive. Choose one branch to see what is idle there.
