How to Add a Product in SellarPro

Short answer

To add a product in SellarPro, open Products → Add Product, enter the name, unit and selling price, then save. Add the opening stock on the same screen so the item is ready to sell straight away.

In this walkthrough we open the Products menu, choose Add Product, and fill in the product name, unit and price. We then set the opening stock quantity and the purchase price so that profit is calculated correctly from the first sale, and finish by saving the product and finding it on the POS screen. Before you start

You need a user account with permission to manage products — usually the business owner or a manager. If the Products menu is not in your sidebar, ask your administrator to grant you product access.

Have these ready before you begin. You can change any of them later.

  • The product name as your staff will search for it.
  • The unit you sell it in — piece, box, kilogram, carton.
  • Your selling price, and what you paid for it.
  • How many you have in stock right now.

Steps to add a product

  1. From the left menu, open Products and choose Add Product.
  2. Type the Product Name. Use the name your staff will actually search for at the counter — "Voltic 750ml" beats "Mineral water, large".
  3. Choose the Unit. This is how you sell the item, not how you buy it. If you buy by the carton and sell by the piece, choose piece here.
  4. Pick a Category and, if you use them, a Brand. Both are optional, but categories are what make your reports readable later.
  5. Leave Manage Stock ticked so SellarPro counts this item up and down as you buy and sell. Untick it only for things you never count, such as a service.
  6. Enter the Purchase Price (what you pay) and the Selling Price (what the customer pays). SellarPro works out your margin from these two numbers.
  7. Set an Alert Quantity — the level at which you want to be warned that stock is running low.
  8. Enter your Opening Stock: how many you have on the shelf today. Enter it against the branch that holds them.
  9. Click Save.

What happens next

The product appears in your product list immediately and is available on the POS screen straight away — no refresh needed on a till that is already open, though a busy till may need one search to pick it up.

SellarPro also records the opening stock as your starting inventory. From this point on, every sale reduces the quantity and every purchase increases it.

Tips

Scan instead of typing. If the item already has a manufacturer's barcode, click into the SKU field and scan it with your barcode scanner. The number is typed for you, and the same scan will then find the product on the POS screen.

Adding many products? Use Products → Import Products to bring in a spreadsheet instead of typing them one at a time. Download the template first — the column order matters.

Common problems

The product does not appear on the POS screen

Check three things, in this order: the product is not marked inactive, it is enabled for the branch you are selling from, and its stock is above zero if you have set SellarPro to hide out-of-stock items.

The selling price shows as zero

The selling price was probably entered on the wrong row. Open the product, scroll to the price table, and confirm the price is against the unit you sell in.

Profit looks wrong on the first sale

Profit is selling price minus purchase price. If you left the purchase price blank, SellarPro treats the cost as zero and the whole sale looks like profit. Edit the product and enter what you actually paid.

Common questions

Can I add a product without knowing the purchase price?
Yes, but your profit reports will treat the item as costing nothing until you fill it in. If you do not know the cost yet, add the product to start selling and edit the purchase price as soon as you have the supplier invoice.
How do I add a product that I sell by weight?
Choose a weight unit such as kilogram, and enter the price per kilogram as the selling price. At the counter you type the weight as the quantity.
Can two products have the same name?
They can, but staff will not be able to tell them apart at the till. Add the size, colour or pack to the name instead — for example "Rice 5kg" and "Rice 25kg".
