How to Adjust Product Stock in SellarPro

Short answer

To correct a stock quantity in SellarPro, open Stock Adjustment → Add, choose the branch, add the product, enter the quantity that is wrong, and save with a reason. The adjustment is recorded against your account so the change can always be explained.

Before you start

Count the shelf first and write the real number down. A stock adjustment records the difference between what SellarPro thinks you have and what you actually have, so the count has to come first.

Decide which kind of adjustment this is. Normal is stock that is genuinely gone — damaged, expired, taken. Abnormal is stock lost in a way you want kept out of your ordinary cost figures.

Steps to adjust stock

  1. Open Stock Adjustment from the left menu and click Add.
  2. Choose the Business Location holding the stock.
  3. Set the Adjustment Type — normal or abnormal.
  4. Search for the product and add it to the list.
  5. Enter the quantity being removed — the shortfall between the system figure and your count.
  6. Type a Reason. "12 broken in transit, 14/09" is worth writing; "adjustment" is not.
  7. Click Save.

What happens next

The stock drops by the amount you entered, immediately and for that branch only. The adjustment is listed under Stock Adjustment with your name, the date and the reason, and it appears in your stock report as an adjustment rather than a sale — so it never inflates your sales figures.

Tips

Adjustments are not how you receive stock. Stock arriving from a supplier should be entered as a Purchase, which records what you paid and keeps your cost price right. Adding stock through an adjustment leaves the cost at zero and quietly breaks your profit figures.

Common problems

The quantity is still wrong afterwards

You may have adjusted a different branch. Check the location on the adjustment, and check the product's stock per branch on its detail page.

I adjusted the wrong product

Delete the adjustment — the stock goes back — then enter a new one against the right product. Deleting leaves a record, which is the point.
