How to Set Up Your Training Catalogue and Fees

Short answer

Open Training → Catalogue and click New course. Enter the code, name, category, delivery, duration and type, the fee and registration fee, the attendance and pass marks, and whether it awards a certificate. Group courses into programmes. Training → Fees shows every place's fee: not invoiced, unpaid, part paid or paid.

Add a course

  1. Open Training → Catalogue and click New course.
  2. Enter the Course code and Course name, a description and category.
  3. Set the Status (Draft until you are ready, then Active), the Delivery (In person, Online or Hybrid), the Duration and its unit, and the Type, such as Short course or Diploma.
  4. Under Fees, enter the Fee and any Registration fee. This is the list price; a particular student's fee is set on their place.
  5. Under Requirements, set the Minimum attendance % and Pass mark %, or leave them for the institution defaults (75% and 50%).
  6. Tick This offering awards a certificate and give the Certificate title. Save.

Courses taught and certified together, such as a diploma, go into a Programme on the Programmes tab.

Fees

Training → Fees lists every place with what it was billed, what has been paid and what to do next. Click a tile to filter: Not invoiced (nobody can pay yet), Unpaid, Part paid and Paid.

Fees beyond the course fee, such as exam fees or materials, are charged from the intake's Fees tab with Charge the class: tick the students, choose the item and who is billed (the student or their sponsor).

A student holds a seat once enrolled, but is not in training until a fee has been paid. Any amount, even a deposit, is enough.
