How to Open an Intake and Assign Instructors
Short answer
Open Training → Cohorts → New cohort. Choose the course or programme, name the intake, set its dates, status, venue, branch, capacity and any agreed fee, and save. On the intake, add students on the Students tab, instructors on the Instructors tab, and the classes on the Weekly pattern tab.
A cohort is one intake of a course: "January 2027" or "Evening Group B". Students are enrolled into a cohort, not into the course itself.
Open the intake
- Open Training → Cohorts and click New cohort.
- Choose the Course or the Programme; a cohort teaches exactly one.
- Give it a Cohort name and code, and set Starts and Ends.
- Set the Status to Open to take enrolments, and the Venue, Branch and Capacity.
- Enter an Agreed fee only if this intake is priced differently, such as an early-bird or corporate intake. Save.
On the intake
- Students: click Add students, search by name, phone or student number, and set each place's agreed fee, discount and sponsor. Tick Raise the invoice now and take a Deposit if they pay today.
- Instructors: click Add instructor and mark each one Lead or Assistant. Each instructor sees this intake's classes on their My classes page.
- Weekly pattern: add the days and times the intake meets, and generate its classes.
- Classes, Results, Fees and Graduation: see the other Training guides.
The top of the intake shows seats taken, active students, registers taken, what was billed and what is outstanding.
