How to Record a Business Expense

Short answer

Open Finance → Expenses and click Add. Choose the Business Location and Expense Category, enter the Total amount and the payment, and save. Recording rent, power, fuel and wages is what makes your profit figure real.

Your profit is what you sold, less what the goods cost, less what it cost to run the business. Recording expenses such as rent, electricity, fuel, data and wages is what makes that last part real.

Step 1: set up your categories (once)

Open Finance → Expense Categories and add the kinds of expense you have, such as Rent, Utilities, Transport and Salaries. Tick Add as sub-category to group them under a parent.

Step 2: record an expense

  1. Open Finance → Expenses and click Add.
  2. Choose the Business Location and Expense Category.
The Add Expense page with the Expense Category field outlined
The Add Expense page. Choose the category first.
  3. Check the Date and enter the Total amount.
  4. Optionally choose who it was for in Expense for (a staff member, for wages) or Expense for contact, add an Expense note and Attach Document (a photo of the receipt).
  5. Under Add payment, enter what you paid and how. Anything unpaid shows as Payment due.
  6. Click Save.

A cashier can record an expense from the POS with Add Expense in the top bar. A cash expense taken this way comes off the open register's expected cash, so the count still balances.

Expenses that repeat

For rent or a monthly subscription, tick Is Recurring, choose the Recurring interval and the No. of Repetitions (blank repeats until stopped). SellarPro records it again for you each time.

See your expenses

Finance → Expense Report totals your expenses by category, location and period, and your profit reports take them off automatically.

Common questions

I received money back for an expense.
Record it as an expense with Is refund ticked. It is added back to your profit.
Should I record stock I bought as an expense?
No. Goods you sell are recorded as a purchase, so they go into stock and their cost is counted when they sell.
