Gym Management Software in Ghana

Memberships that renew on time, a front desk that also sells, and one honest answer to "how did we do this month?" — without a spreadsheet of member names and a wall calendar of expiry dates.

What actually goes wrong in a Ghanaian gym

Gyms do not usually fail on equipment or on trainers. They fail on two quiet, boring things: memberships that lapse without anyone noticing, and money at the front desk that nobody can account for.

Memberships as recurring subscriptions, not diary entries

SellarPro treats a membership as a subscription package with a start date and an expiry, attached to a named member. That single change removes most of the guesswork:

The list of members expiring in the next seven days is the most valuable screen in the building. It converts renewals from something that happens to you into something you do.

The front desk is a real point of sale

This is where gym-only platforms tend to disappoint. A gym is a retail business wearing a fitness badge — water, supplements, towels, day passes, personal training sessions and merchandise all cross that desk.

SellarPro's front desk is a full POS with real inventory behind it: stock levels on supplements, low-stock alerts before you run out of the flavour everyone buys, cost prices so you know the margin on a protein tub, and per-method payment totals at close of day. Membership revenue and retail revenue land in the same reports instead of two systems that never quite agree.

Knowing where the money went

For gyms with more than one location, see multi-branch management: separate takings, separate staff, one consolidated view.

What it costs

Plans start at GHS 99 per month for one location and up to five users; GHS 150 covers up to three locations; GHS 250 up to five. Prices are exclusive of VAT. There is no setup fee and no per-terminal charge, and plans are month-to-month. Full detail on the pricing page.

Judge it against one number: if the software recovers three lapsed memberships a month that would otherwise have drifted away, it has paid for itself several times over. That is a low bar, and it is why the expiry list matters more than any other feature.

Where SellarPro fits — and where it does not

Being straight about this saves everyone time.

SellarPro suits you if your gym sells things as well as memberships, if you want one system for takings, stock, staff and renewals, if you run more than one location, or if you also operate another business and would rather not learn a second platform.

Look elsewhere if your priority is class booking with trainer scheduling, workout programme design, body-composition tracking or a member-facing training app. Dedicated fitness platforms do those things properly and we do not pretend to compete there. Our strength is the business behind the gym — money, stock, staff and renewals — not the training floor.

Frequently Asked Questions

Does SellarPro handle recurring gym memberships?

Yes. Memberships are handled as recurring subscriptions, so each member has a package with a start and an expiry, and renewals are tracked rather than remembered. Members approaching expiry can be sent SMS reminders automatically.

Can I sell drinks and supplements as well as memberships?

Yes, and this is where a gym-only platform usually falls short. The front desk is a full POS, so protein, water, towels and day passes are sold and stocked in the same system that holds memberships. Retail stock and membership revenue appear in one set of reports.

How do members pay?

Cash, MTN Mobile Money, Telecel Cash, AirtelTigo Money and card are all recorded at the desk, with separate totals per method at end of day. Members can also pay online through your storefront.

Can I see who has not renewed?

Yes. Expiring and expired memberships are visible as a list rather than something you discover when a member stops appearing. That list is the single most useful thing a gym owner can act on each week.

What if I run more than one branch?

The Growth plan covers up to three locations and Business up to five, each with its own staff and takings but one consolidated view. Every workday at 9pm you receive an SMS and email summary with each branch's revenue, cash and mobile money income.

Can I stop front-desk staff seeing the money?

Yes. Every staff member has a role that determines exactly what they can see and do — discounts, refunds, cost prices, the cash drawer, reports. Most owners give the front desk memberships and sales, nothing more. Every change carries a name and a timestamp.

How much does it cost?

Plans start at GHS 99 per month for a single location with up to five users, GHS 150 for up to three locations, and GHS 250 for up to five. Prices are exclusive of VAT. There is no setup fee and no per-terminal charge.
